Connect Crystal Xcelsius to Crystal Reports
by: Kristen St. Jean, Sr. Consultant, CRCP
You may have a need to use data calculated by a Crystal report in an Xcelsius
document. For example, your Crystal
Report may calculate the Sales Revenue for each division, and you would like to
place the actual sales revenue in an Xcelsius document to allow for analysis
using selectors and charts.
In order to do this, first you must create the Crystal Report and save it to
Business Objects Enterprise XI R2.
Once the report has been created, you’ll need to create an excel file that uses
the data in the report. The Crystal
report can be “linked” to the excel file using a Business Objects tool called
Live Office. Live Office allows us
to connect Microsoft Office applications to Crystal Reports or Web Intelligence
documents that are stored in Business Objects Enterprise.
Once in Excel, we would use Live Office to connect to the desired report, and
then we would choose the data that we wanted to use creating a “view” of the
data from the report. Once we
have the data from the Crystal report, you can add any other calculations or
formatting to the Excel file that you will need for your Xcelsius document.
When the Excel file is complete, you’ll need to save it to a folder in
Business Objects Enterprise.
Now, we’re ready to begin creating our Xcelsius document.
When you import your model into Xcelsius, you’ll choose the excel file
from your enterprise folders. Create
your Xcelsius with the desired charts, selectors, etc., and then place the Live
Office Connector from the Web Connectivity folder onto your document.
When the document is complete, export it to Business Objects Enterprise.
Now, you can schedule the Crystal report to run on a nightly basis, for
example, and every morning when you come into your office you can open InfoView,
view your Xcelsius document and click on the Live Office Connector to refresh
the data. Now, your document will be
updated with the latest data from the Crystal Report without having to re-import
a spreadsheet every day.
